Set up Dynamic allocations

As your business scales, an after-the-fact allocation tool can save time and effort by dynamically generating allocations on a periodic basis. Allocating revenues and costs helps an organization gain a better understanding of performance for departments, projects, and more. Sage Intacct offers a native allocation solution that allows you to automate the allocation calculation tasks for routinely shifting costs or sharing revenues.

Subscribe to Dynamic Allocations

  1. Go to Company > Admin > Subscriptions > Dynamic Allocations > Subscribe.
  2. Select Save.

Create a user-defined book and journal

When you run an allocation, it creates journal entries to move or reclassify the amounts. When you create the allocation definition, you'll specify the user-defined book and journal that these entries post to.

It might be appropriate to have separate journals for different sets of allocations, depending on the complexity of your reporting requirements.

For more information, see Set up user-defined books.

Assign permissions

Assign permissions to users for the account allocation options. The permissions appear on the General Ledger permissions page. There are four different permissions related to account allocations:

  • Account allocation definitions: This lets users create the allocation definitions that determine how amounts are allocated.

  • Generate allocation: This lets user run the allocations.

  • Account allocation groups: After you've created multiple allocation definitions, you can group them to run at the same time.

  • View allocation log: The allocation log lets you see the status of allocations that are in progress or have been completed.

Depending on how your organization set up security, see one of the following help pages for more information:

If allocations are defined at the top level, ensure that business users restricted to particular entities can access the top level to run the allocations if needed.

Top-level access can be given on the User entities tab on the User information page. For more information, see Edit user information.

Next step

Now that you've set up Dynamic Allocations, the next step is to Create an allocation definition.
