Use Subledger Reconciliation Assistant

Subledger Reconciliation Assistant saves you time and effort by automating some of the tasks required to reconcile subledgers with General Ledger. Instead of exporting subledger reports and the Trial Balance report to Excel to compare balances, let Subledger Reconciliation Assistant do that for you.

In the Copilot Close Assistant panel, you can select one of the following prompts:

  • Prepare AP reconciliation

  • Prepare AR reconciliation

After Copilot compiles the information, you'll receive an insight letting you know that the reconciliation report is ready. The insight provides a link to the report, and you can also view it from the My Stored Reports page.

Prepare the subledger reconciliation

Subledger Reconciliation Assistant scans your data to find variances between subledgers and General Ledger.

  1. On any page in Sage Intacct, select the Copilot icon in the top title bar.

    The Copilot panel opens on the right side of your browser window on top of the current Intacct page.

  2. Select Run Close Assistant.
  3. Select the Reporting period that you're preparing to close and then select OK.
  4. Select one of the following prompts:
    • Prepare AP reconciliation
    • Prepare AR reconciliation
  5. If you're working at the top level, complete one of the following steps:
    • Select an entity or entity group and then select Apply filter.
    • Select Process without filters to prepare the report for all entities.

    If you have entities that use different base currencies, you must select either a single entity or an entity group in which all entities use the same base currency. Entity groups with multiple base currencies do not appear in the dropdown list.

    In companies that do not have multi-base currencies enabled, if you have more than 10 entities, you'll need to select an entity or an entity group with fewer than 10 entities.

View the insight

If a variance is detected, you'll receive an insight to alert you. Subledger Reconciliation Assistant also provides guidance to help you investigate the variance.

  1. At the top of the Copilot panel, select Insights.

    The notification tells you know whether a variance exists between the subledger and General Ledger.

  2. Select View more to see the insight.

What you see after selecting View more depends on the number of entities that have a variance.

  • If no entities have a variance, the insight will indicate this. The total of all account balances is shown for the subledger and General Ledger. You can select the totals to drill into the subledger report or the Trial Balance report.

  • If 5 or fewer entities have a variance, they're listed in the Copilot panel. The list includes the total of all account balances for the subledger and General Ledger and the variance amount. You can select the variance amount to see more details.

  • If more than 5 entities have a variance, the 5 with the highest variance amounts are listed.

In all instances, the insight also includes a link to the Subledger Reconciliation Report. You can access the report from the insight or the My Stored Reports page.

View the Subledger Reconciliation report

You can run a reconciliation report for Accounts Payable or Accounts Receivable and use it as a reconciliation worksheet during your close process.

  1. In the Copilot panel, select one of the following options:

    • Run AP Subledger Reconciliation report

    • Run AR Subledger reconciliation report

    When the report is ready, you'll receive a new insight.

  2. Select Insights.

  3. In the insight card that says the report is ready, select View more.

  4. Select the option to review the Subledger Reconciliation report.

  5. Select HTML to view the report.
